# Claimify: Warranty claims, RMA

_Let customers file claims easily and manage them from one place_

Customers file a claim from their Shopify account or a block on your storefront. Your rules approve the routine ones on the spot and refund, replace or credit the order. What is left is the handful that actually needs you.

Rated **5/5** from 6 reviews on the Shopify App Store.

## A returns policy is not a returns process

Most stores run claims out of a shared inbox. Every request arrives in a different shape, and every answer is typed by hand.

- **Damage reports and return requests arrive as free-text email** → A form you designed, with the order attached and the photos already uploaded
- **An agent checks the order date and the policy for every claim** → Eligibility rules decide before the form is even submitted
- **Customers email again because nothing tells them what happened** → Status emails at each step, and a claims page inside their account
- **Refunds in Shopify, replacements in drafts, notes in a spreadsheet** → One claim record with the resolution, the return and the full action log

## What Claimify actually does

The whole lifecycle, from the form a customer fills in to the refund that closes it.

- **Claim forms you design**: Text, dropdowns, checkboxes, multi-file uploads and custom attributes, per order or per line item. Build one by hand or describe it to the AI form builder.
- **Eligibility and validation rules**: Decide who can claim what: time windows since fulfilment, product tags and vendors, order value, required photos, one claim per order.
- **Auto-approval rules**: AND/OR conditions on order total, financial and fulfilment status, reason, file count and more. Approve, reject, request info, assign, set priority or open a return.
- **Six ways to resolve**: Refund, replacement draft order, gift card, discount code, store credit, or a custom resolution you define, all issued through Shopify from inside the claim.
- **Kanban board and audit trail**: Drag claims across your own statuses, assign an owner, set priority, leave public or private comments. Every action is logged with who did it and when.
- **Returns, manual or native**: Request a return, send instructions, collect the carrier and tracking number, move it Requested → In Transit → Received, and restock on arrival.

## Warranty is a first-class part of the app

Not a claim form with a different label: its own policies, registry and lifecycle.

- **Policies that match your catalogue**: Fixed, lifetime or until-a-date cover, applied to everything or scoped to collections, products, tags or vendors. Cover starts at purchase, fulfilment, delivery or registration.
- **Registration by magic link**: Customers register a purchase from an emailed link or their account, with no password. Registrations can be transferred when the product changes hands.
- **Serial number registry**: Validate a serial at registration, keep it unique per product, and decommission it when the unit is retired.
- **Expiry that triggers something**: Shopify Flow triggers fire when a warranty is registered and at 30 days, 7 days and the day cover ends: the moment for a renewal or an extended-warranty offer.

## Around each claim

The parts that make a claims queue workable for a team.

- **Team work**: Assign claims, leave internal comments and set priorities. Each change lands in the claim's activity log.
- **Printable return labels**: On Plus and Business a claim can include a return, with a PDF label that carries your return address.
- **AI claim summary**: On Plus and Business, a short summary of the claim with a risk note. It informs the decision and never makes it.
- **API and webhooks**: Tokens from Settings, API access on Plus and Business, plus webhooks for claim created, resolved and rejected.
- **Claims you create**: Open a claim from the admin for a customer who wrote in, and run it through the same statuses and resolutions.
- **Analytics**: Claim analytics on Plus, and product-level analytics on Business to see which products cause claims.

## Three steps, then it mostly runs itself

- **Publish a form**: Start from a template or the AI builder, set the fields and the eligibility rules, then add the claims page to the customer account and the block to your theme.
- **The customer files it**: They pick the order, answer your questions, attach photos, and get a confirmation. They can follow the claim from their account without emailing you.
- **Rules resolve what they can**: Matching claims are approved and paid out on submission. The rest land on your board, where one click issues the refund, replacement, gift card or credit.

## What merchants run through it

- **Damage on arrival**: A form that requires photos before it can be submitted, and a rule that refunds low-value orders with two or more images automatically.
- **Returns and exchanges**: A return request with instructions and tracking, closed with a replacement draft order or store credit once the parcel is received back.
- **Warranty claims**: Cover checked against the policy and the registration before the claim is accepted, so an out-of-warranty request never reaches your queue.
- **High-volume support teams**: Claims assigned by owner and priority, bulk-run an automation or a workflow across a filtered selection, and export the lot as CSV for reporting.

## Pricing

- **Basic** — 9 USD/month. One form, standard templates, and the core resolutions.
- **Plus** — 19 USD/month. Unlimited forms, the auto-approval engine and your own branding.
- **Business** — 49 USD/month. Everything in Plus, plus workflows, returns and your own domain.

## Questions merchants ask

### Where do customers file a claim?

Three places, all sharing the same form. A claims page inside their Shopify customer account, a 'file a claim' action on any order in that account, and a theme app block you can drop into any section of your storefront: a returns page, a help page, wherever it belongs.

### How does a claim get resolved?

From inside the claim, in one step: a full or partial Shopify refund with optional restock, a replacement created as a draft order, a gift card, a discount code, or store credit. You can also define your own resolution types. Auto-approval rules can trigger the same actions without anyone touching the claim.

### Can I stop invalid claims before they reach me?

That is what the eligibility and validation rules are for. Restrict a form by days since fulfilment, product tag, vendor or order value; require a minimum number of photos; cap claims per order or per customer; and block a second claim once one has been approved.

### How is the warranty side different from a claim form?

Warranty has its own policies, registrations and serial-number registry. Cover is defined per policy (fixed, lifetime or until a date) and scoped to collections, products, tags or vendors, starting from purchase, fulfilment, delivery or registration. A warranty claim is checked against the customer's registration before it is accepted.

### Does it change my theme or slow the storefront down?

The storefront side is a theme app extension block, added and removed from the theme editor. Nothing is written into your theme's code and nothing is left behind when you uninstall.

### What does it cost?

Plans are $9, $19 and $49 a month, billed through Shopify, and each starts with a 3-day free trial. Paying annually saves 17%. There is no free tier. The entry plan is Basic at $9. The current plan comparison is always on the App Store listing.

### Does it work with the rest of my stack?

Claim created, claim updated, warranty registered and warranty expiring are all Shopify Flow triggers, so you can wire claims into whatever you already automate. There are also direct integrations with Klaviyo, Omnisend, Mailchimp, Postscript, Attentive, Gorgias, LoyaltyLion, Slack, WhatsApp, Zapier, Make and plain webhooks, and an API with tokens on Plus and Business.

### Can customers see it in their own language?

The customer-facing copy ships with ready-made translations in ten languages besides English (French, German, Spanish, Italian, Portuguese, Dutch, Polish, Chinese, Japanese and Arabic), and every string is editable, so you can rewrite any of it in your own voice.

### Can customers print a return label?

Yes. On Plus and Business a claim can include a return, and the customer gets a printable PDF return label with your return address on it. It is not a prepaid carrier label: the customer still pays for and books the shipment unless you arrange it.

### Can my team share the claims queue?

Yes. Add people under Settings, Teams, then assign claims, leave internal comments and set a priority on each claim. Every change is written to the claim's activity log.

### Can I create a claim for a customer?

Yes. Create a claim from the Claims page in the app when a customer reports a problem by email or phone. It goes through the same statuses and resolutions as one the customer filed.

### What does the AI summary do?

On Plus and Business, a claim can show a short written summary of what the customer reported, with a risk note to help you decide. It is advice only: nothing is approved or refunded until you or one of your rules acts.

### Where are the setup guides?

Getting started, step-by-step tutorials, a settings reference, troubleshooting and the changelog are at docs.xco.agency/docs/claimify/intro. Questions go to support@xco.agency.
